Event planning can take on a lot of different forms. For most corporate or private events there is an event planner or a board that plans the events. Before contacting your vendors such as the band, food, and drinks it is best to have some basics down. Here are some things you should know 1) Location of the event. Make sure you have wirtten confirmation from your venue including the date, time, and what they will be providing your event with. 2) Have a full time schedule for the entire event. This includes when the tickets go on sale, what time the band can set up, what time the sound check is, when the doors will open to your guests, what time the must must stop at, what time the venue needs to be empty, and if there are any special times for special presentations. 3) Find out exactly what you will need from the artists and what you can provide them with. Find out if special parking is available for the artist, if there is electricity on site, if lighting is needed, what type of PA or sound equipment is available, and if there are any security issues that need to be addressed. 4) For larger events we recomend making sure to book everything well in advance. We recomend booking the venue 8 months in advance, the band 6 months in advance, and release the tickets as early as possible.
