If you are new to Corporate Events there are some basics to get down. The Fundamentals include many things but maybe most importantly be sure everyone involved knows why the event is happening. Here are some other things to keep in mind. Plan ahead. Book your venue, band, security, food, and other necessities months in advance. Have a plan in place to let your membership or guests know about the event. Some ways to contact your guests may include email, a company web site, letters, memos, and newsletters. We have found that the best way to inform people is in person and over the phone. This way the guest can ask any questions they have about the event and you can give them a real understanding about what they should expect. Make introductions before the event. As a coordinator it is important that you introduce and coordinate with your vendors and staff. If a band is needed make sure to intoduce them to the lighting person, the sound people, and anyone backstage that will be in contact with the band. Let you people know what they should go to you for and when they should contact someone involved with the event. As an example you might tell the band to talk to the sound person if they are concerned with electricity but if they have a question about how long they should play they should talk to you (the coordinator). |
